AI Policy
We use AI to make the website and audit intake faster. We do not use AI as a replacement for professional review.
Short version
AuditsPro may use AI tools to answer general website questions, guide visitors through the first steps of an audit enquiry, and help our team organise information. A human still reviews audit scope, documents, pricing, discounts, and professional audit work before a client should rely on it.
The public assistant is not the place to upload bank statements, trust ledger exports, identity documents, or other sensitive audit material. Use the secure client portal or a staff-approved upload link for those records.
Our AI-assisted workflows are built for Australian trust-account audit and compliance work. Where AI is used, we choose settings and services intended for Australian operations and onshore handling where that control is available.
Where we may use AI
- Answering general questions on the website and helping visitors find the right next step.
- Guiding quote, discount, start-audit, and document-upload enquiries before a human reviews the request.
- Summarising information that a client has provided, so our team can respond faster and with better context.
- Helping staff organise audit information, draft internal notes, and prepare review material where the workflow supports it.
What stays with people
AI output can be useful, but it can also be incomplete or wrong. For that reason, these decisions stay with AuditsPro staff or qualified professionals involved in the file:
- Final audit scope, pricing, and discount decisions.
- Whether documents are sufficient for an audit file.
- Audit findings, reports, sign-off, and professional judgement.
- Client-specific advice or anything that requires regulatory interpretation for a particular matter.
Client information and documents
If you type into the public assistant, the text may be processed by systems that help provide the assistant response and create a lead summary. Keep public chat to general questions and basic enquiry details.
Audit documents should be uploaded only through the secure portal or a staff-approved upload link. We do not ask visitors to place bank statements, trust ledger exports, identity records, or full client files into the public assistant.
We do not intentionally publish client documents into public AI tools. Where an AI feature is used in a workflow, we aim to keep it limited to the task being performed and subject to our normal access and review controls.
Australian compliance and AI handling
AuditsPro operates for Australian clients and Australian trust-account audit requirements. Our AI use is designed around that context; it is not used to give overseas regulatory advice or to replace Australian audit judgement.
Our current AI stack includes Google Gemini services used for assistant responses, extraction support, and staff workflow support. We select Australian/onshore handling options where the provider and workflow make that available.
The AI service is not used as a place to store client records or build a reusable memory about you. AuditsPro may still keep enquiry details, uploaded files, audit records, staff notes, and system logs in our own systems where needed to provide the service, manage the file, or meet legal and audit obligations.
Accuracy and reliance
AI responses on the website are general support only. They may help explain a process, estimate the next step, or prepare a handoff to our team. They are not an audit report, legal advice, financial advice, or a final regulatory position.
If an AI response conflicts with a written quote, a portal notice, a staff email, an engagement letter, or an issued audit report, the reviewed written material should be treated as the source to follow.
What not to send in public chat
Please do not send passwords, PINs, one-time codes, internet banking logins, ATM card details, full card numbers, bank statements, full trust account ledgers, identification documents, tax file numbers, Medicare details, complete client lists, or other sensitive audit records through the public assistant. If we need those documents, we will direct you to the secure portal or another staff-approved method.
Policy updates
We may update this page as our assistant and internal workflows change. When we do, we update the date above. We try to keep this page practical rather than broad, so it remains useful to clients and fair to us.
